Description:

Provide administration and logistics support for the smooth functioning of IT projects for the smooth functioning of their activities including coordination with other QR Group divisions and external parties as required. Also, support in maintaining the department records and filing systems and other general functions. In addition, provide administration support for the CIO office and VPs in the absence of Administration Officer in addition to the primary responsibility.
ACCOUNTABILITIES:
Performs various secretarial and administrative duties to support requirements and maintain the department functions smoothly on a daily basis. Handles a wide variety of situations and tasks involving the administrative function of the office. Tactfully handles enquiries and/or refer to appropriate personnel/department.
Manages, coordinates and maintains calendar of appointments, travel arrangements, records of communication (documents, faxes, mail) to meet the requirements of the SVP Aeropolitical and Corporate Affairs, to record, filter, disseminate and communicate all incoming and outgoing matters.
Provides business documentation support, including report writing, presentation creation and spreadsheet preparation and distribution of such materials. Compiles reports as directed and ensure that all files are complete and properly maintained.
Independently manages multiple tasks and assigned projects whilst respecting the deadlines and simultaneously ensuring the integrity of all information and data.
Provides efficient administrative support, with minimal instructions.
Enhances office administration procedures within the unit.
Remains informed on relevant Company policies and procedures.
Promotes high standards of corporate values through correspondence, telephone and personal contact.
Keeps and maintains of all the tracking for the inbox and outbox

Requirements:

To be successful in this role you must have ability to proofread outgoing documents with a high level of accuracy. You must have proven experience of managing effective working relationships.
You must hold relevant vocational, Tertiary or Trade qualification. A tertiary HR/Administration qualification would be an advantage with a minimum of 4 years of relevant experience. We are looking for someone with good communication, excellent organization and problem solving skills. Fluency in English is a MUST, Arabic is a strong advantage too.
