Description:

The executive administrative assistant provides support to the President and CEO. This individual has the ability to demonstrate a high standard of excellence, enjoys challenges, and is results-driven. The incumbent must be highly motivated and demonstrate the ability to use initiative and manage time effectively.



Some of the responsibilities will include, but not be limited to:



· Administrative support for CEO's office, screens enquiries and complaints and provides answers on a variety of matters.

· Maintain regular contact with other Executive Vice President’s on a wide range of issues/enquiries.

· Review reports, invoices, and a variety of forms for completeness, accuracy, and appropriate signatures.

· Arrange meetings/conferences including airfare, accommodations and equipment needed.

· Organize and coordinate CEO's schedule including contacting meeting participants, booking venues and equipment and preparing material. Includes screening requests for speaking engagements. Book/revise CEO travel arrangements.

· Responsible for the coordination and processing of action requests and other items/issues.

· Establish confidential and working files for CEO's office; coordinates storage of old files.

· Assist with other administrative duties as assigned from time to time complex and advanced level including: composing letters, word processing and proofreading of memoranda and reports, as well as correspondence for the CEO's signature when required.

· Timely preparation and accuracy of detailed reports and documents for the Board, and various sub-committees.

· Liaise with internal and external guests on behalf of the President and CEO

· Schedule and organizing meetings

· Develop strong relationships with executive administration teams throughout WestJet

· Coordinate quarterly town halls and assist with meeting room bookings

Requirements:

To qualify candidates must have:



· Minimum 10 years related experience in a senior administrative role coupled with an Office Management or Business Administration Diploma.

· 3 - 5 years’ experience working in an Executive Assistant capacity managing an Executive Office.

· Excellent time management, organizational, and interpersonal skills required.

· Outstanding verbal and written communication skills are also required as this position has frequent contact with the public and is frequently required to draft correspondence.

· High degree of diplomacy and good judgment along with the ability to maintain confidentiality.

· Advanced knowledge in Word, Excel, Power Point; intermediate knowledge of Excel is required.

· Ability to communicate effectively (both written and verbal) with internal and external guests.

· Must be detail-oriented and possess the ability to multi-task and meet unexpected deadlines in a demanding environment.

· Demonstrate sound judgment regarding confidential and sensitive matters.

· Must provide high level of customer service to internal and external guests.
