Responsibilities:

WORK ACTIVITIES/CONTEXT:

Provide general administrative support including word processing, copying, responding to telephone calls and visitors to department, sending and receiving facsimiles, facilitating acquisition of department's supplies and basic office equipment, and maintaining both electronic and hardcopy filing systems of departments' supporting documents.
Assists with facilitation of business meetings including coordination of meeting times and places, requisitioning of and organization of necessary supplies, equipment or refreshments, taking minutes in meetings, and following up on status of any action items from meetings.
Assist in development and production of presentation materials for periodic presentations to internal Customers, Management and/or other Department members on Technology projects.
Oversees processing of new hires within the Department, including acquisition of necessary equipment and supplies, completion of new hire forms and assimilation into the Team.
Performs coordinator of travel arrangements, including registration for conferences, reservation for accommodations and travel, and assistance with subsequent Employee expense reporting.
Assist with communication of Department’s and Company's guidelines and office procedures to others in Department.
Maintain spreadsheets reports of vacation, sick leave, tardiness, and shift trades.
Perform payroll processing, including collection and recordkeeping of information on exceptions such as vacation and sick leave, and assist with distribution of payroll checks and incentive travel passes.
Coordinate staff itineraries, prepare flight and hotel reservations for Leadership and vendors.
Assist with intra and interdepartmental Teambuilding and morale-boosting events, including coordination of periodic Team functions, preparing acknowledgements of life events (birthdays, anniversaries, babies, promotions, etc.), coordinating the decoration, upkeep and cleaning of common Department areas, etc.
Assist with special projects as requested by Leader.

May perform other job duties as directed by Employee’s Leaders.

Qualifications:

BASIC QUALIFICATIONS:



High School Diploma, GED or equivalent education required.

Must be at least 18 years of age.

Must have authorization to work in the United States as defined by the Immigration Reform Act of 1986.

EDUCATION:

High School Diploma or equivalency required.
College coursework or degree preferred.

WORK EXPERIENCE:

2 - 3 years clerical experience preferred.
Minimum of 2 years advanced skills in MS Outlook required.
Minimum of 2 years of experience supporting a "C" level Executive required.
Minimum of 2 years of experience reconciling expense reports required.
Minimum of 2 years of experience with Microsoft Office Suite (PowerPoint, Word, Excel and Outlook) required (testing maybe required).
Minimum of 2 years of experience coordinating tarvel arrangements, including hotel and car reservations required.
Minimum of 2 years of experience processing payroll, including collection and recordkeeping of information on exveptions such as vacation and sick leave required.

SKILLS/ABILITIES/KNOWLEDGE/WORK STYLE:

Ability to type and/or use a keyboard with sufficient speed (60 wpm) to meet demands of job.
Must be able to operate multi-line telephone with sufficient courtesy and speed.
Must have advanced skills in MS Outlook.
Must have working knowledge of computer systems and peripherals (Windows, Microsoft Office, PowerPoint and Internet skills)
Able to read documents, follow instructions, learn and understand office procedures.
Must have strong organizational, coordination, written communication, and prioritization skills.
Must be able to perform mathematical computations.
Must be able to effectively communicate verbally by telephone and face-to-face.

Must be able to comply with Company attendance standards as described in established guidelines.

OTHER QUALIFICATIONS:



Must maintain a well-groomed appearance per Company appearance standards as described in established guidelines.
