Position Highlight:

As part of the People Team, the People & Administration Coordinator will play an important role in helping to create a positive experience for our employees. The Coordinator will be the initial point of contact for employees and managers with inquiries pertaining to People Operations policies and programs.


The successful candidate should have strong organizational skills with high attention to detail, outstanding time management and communication skills. Our ideal candidate must be results oriented and has direct experience in supporting a variety of HR disciplines.



Key Responsibilities:

· Administer and maintain accurate and up-to-date employee and job data in HR System (PeopleSoft/“PCX”) and personnel files – from new hires to terminations.

· Provide HR system training and support to end users and prepare ad-hoc reporting for management.

· Advise and assist Managers in the recruitment and selection process including updating job postings internally and externally, scheduling qualified candidates, arranging background check and drug testing, preparing offer letters, coordinating the distribution and collection of pre-employment paperwork.

· Benefits administration including distribution and tracking of benefit paperwork, enrollment eligibility and cancellation, responding to employee benefit inquiries, COBRA coordination, assisting with annual open enrollment and processing benefit provider invoices.

· Administer leaves of absence of varying types to include but not limited to: FMLA, PDL, CFRA, PFL and Worker’s Compensation to ensure they are administered according to policy and procedures as well as in accordance with local, state, and federal legislation.

· Comply and communicate all Company policies and local legislation; provide support and guidance to managers and supervisors on internal policies and procedures.

· Monitor the tracking of sick, vacation, and leave records for all staff. Ensure all departments report accurate and timely leave information, and provide support and guidance on PCX programs and procedures.

· Handle administration functions to include office management; safety program coordination; reconciliation and payment of all monthly invoices pertaining to all insurance programs, vehicle leases, and licenses.

· Handle termination process including acknowledgement, coordination of final pay calculations and payment, return of exit interview and Change of Relationship Form.

· Assist in all monthly, quarterly, and annual compliance reporting and HR related activities.

· Assist the People Team in compliance with labor rules & regulations.

· Support and manage other projects as assigned by the team including those in and outside of the direct reporting structure.

Requirements:

Qualifications & Requirements:

· Bachelors’ degree in HR or similar

· Minimum three years of HR experience with demonstrated success in meeting goals and driving through results.

· Must be capable of multi-tasking in a busy, high-volume environment and have the ability to effectively manage time, prioritize tasks and work within deadlines.

· Extremely detailed oriented with impeccable standards to quality of work.

· Intermediate to Advanced Proficiency with MS Office Suite (Excel, PowerPoint, Microsoft Word, Visio); working knowledge of Sharepoint is a plus

· Prior experience working with HRIS systems, including PeopleSoft and ADP

· High degree of confidentiality

· Strong interpersonal relations and problem solving skills

· Consistently displays a professional and positive service-oriented demeanor

· Effective oral and written communication skills including the ability to communicate well with all levels of management and employees

· Good communication; firm but fair interpersonal skills

· Superior independent work capabilities as well as strong organization skills

· Knowledge of all statutory and state legislation

· Ability to think outside the box and make decisions within the guidelines of Company policies and local labor laws

· Maintain high level of teamwork by incorporating a positive attitude and strong communication with all levels both within the existing team & anyone outside the direct reporting structure.
