Description:

The company: An exciting new dnata division providing travel intermediary products and services.

The Positions: Provide support services to complete the day to day activities in the company management office and also assist with the MD of the company with his organisation and task workload.

Job Outline:
Raise all electronic and written forms as per internal procedures and track the progress of the form. Maintain a database of all requests raised and advise the respective line manager once these have been approved. To process accurate data related to staff overtime, staff strength, recruitment status and other budget expenditure in various sections in order to ensure coverage of the operational requirement

When new staff join the company, assist them with induction and organisation of tools
Identify the training requirements of new and existing staff as per the job requirements and liase with Emirates Training College to schedule the required courses. Thereafter liase with the staff and their supervisors/ Managers to ensure staff attend the course they are nominated for and avoid no-shows.
Provide Administrative support to all Department staff which would include answering their queries such as their yearly entitlements, uniforms, leave balance, HR direct enquiries, Training enquiries, Duty Travel, Training travel, etc.
Plan, manage & monitor the daily meeting schedule of the MD of the company and provide the necessary documentation required for each meeting by co-ordinating with sources within or outside the Department.
Act as Personal Assistant to the MD of the company and assist him with all administrative and organisational tasks where necessary
To co-ordinate the requirement of new and existing outlets like raising the MRE and RFP for them and following up with property services/procurement and contractors to get the job done on time. To update and maintain records of the assets/staff/new requisitions for the outlets.
Maintains a close relationship with the other senior managers within the department as well as within other stakeholders so that communications are precise, concise and easy
Keep up to date with the evolving business model and strategy of the company in enable to successfully assist the MD in his tasks and organisation

Requirements:

Qualifications & Experience


‘A’ level or Equivalent level of education with a minimum of 3 years experience in administration.
At least 3 years in the travel industry
Has to have an excellent command of written and spoken English. Should have the ability to interact with internal and external clients in a professional manner.
Proficient in MS Office software like MS Word, MS Excel, PowerPoint.
