Thank you for inquiring about the opportunity to become a Specialist. This position will be based in Atlanta.
The Specialist role involves - participating in Worldwide Meetings and Events in order to develop and execute key Global Sales and Cargo events with a focus on tradeshows, while also maintaining the ability to manage all aspects of planning a meeting or special event for Global Sales (including location selection, catering, transportation and budget control). Meetings and sponsorship activations as a platform to shape perceptions of corporate purchasers and agency influencers of $16B in annual B2B revenue is also a necessity. Job responsibilities include:
Liaison between the Exhibit House, Account Executive, client while maintaining direct contact with all parties regarding project status and related logistics.
Facilitate pre-show kick off meeting with Exhibit House to include Designer and Account Developer. Pre-show meeting determines scope of project, timelines. Discuss exhibit property and graphic requirements, address special requests, promotional products, caterers, or other service providers.
Work hand in hand with Exhibit House on production requests, show needs, gathering graphic production files, sending proofs for approval, inventory management and logistics.
Estimate show logistics, pre-show management and coordination, design, CAD detailing, shop/warehouse labor, graphics, show services as well as work with estimating department for any new booth build production requests.
Ensure all information is disseminated to various departments including design, estimating, engineering/detailing, fabrication, graphics, logistics, warehousing, etc., while supporting the entire process of the job through completion.
Work with CAD to develop floor plan, service layouts as well as reviewing any new fabrication with Exhibit House Project Managers.
Coordinate with Event Services on all on-site event services to include transportation, installation and dismantle, labor, electrical, floral, AV, etc.
Manage Exhibit House inventory control website to include implementation, client user access, training, add or remove client inventory, order requests, etc.
Badge registration and hotel reservations
Personally manage medium to large-size meetings and events that range in size from 10 to 1,000 people including site selection, event theme, pre coordination, registration, housing, budget management and event execution.
Develop meeting specifications including banquet event orders and work plans including timeline and budget.
Coordinate and manage pre-planning meetings with project team. Coordinate all information for meetings and events and disseminate appropriately.
Coordinate logistics planning including agenda/program development, food and beverage menu selections, air and ground transportation arrangements, registration and housing processes and audiovisual/technical needs.
Oversee attendee registration process.
Complete post-event tasks include reconciliation of expenses, evaluation of event, and report out on meeting results; recommend improvements for future meetings.
Practices safety-conscious behaviors in all operational processes and procedures.
Requirements:
The successful candidate will have:
A Bachelor's degree or Master's degree preferred. Minimum 5-7 years work experience in related field. Ability to maintain and work within budget parameters. Generalist business acumen that enables completion of projects that range in scope across business functions. Strong written and oral communication skills in order to successfully implement programs, collaborate with others, and present program progress. Demonstrated initiative and excellent project management experience a must. Knowledge of trade show requirements such as pre-show space layout and usage, exhibit space rules and regulations, EAC and insurance, electrical, AV, drayage, lead retrieval, internet, rigging, furniture, shipping, etc. Ability to multi-task on multiple projects and self-manage in an environment of accountability for results. Familiarity with Microsoft Powerpoint, Word, Excel, and Outlook; Access, Project and salesforce.com a plus. Hours may vary and may include days, nights, weekends etc. Travel 50% domestically required
