Thank you for your interest in the Administrative Assistant - AA - position for our Vice President, China. The position is located in Shanghai, China (SHA).

Job Summary:

The AA reports to the Vice President-China and supports him, as well as other key members of the division's leadership team. The AA will perform advanced, diversified, and confidential administrative duties requiring broad and comprehensive experience, skill, and knowledge of organization policies and procedures. Responsibilities include but are not limited to the following duties:

Schedules and maintains calendar of appointments, meeting, and hotel and travel itineraries, using the whole suite of Microsoft Office products as well as Delta's internal systems.
Completes and submits vouchers and expense reports.
Coordinates activities and schedules across multiple countries, time zones, and organizations.
Plans events and maintains a visible profile with senior executives, both in-country and abroad.
Builds and maintains relationships across the Delta office network in Asia Pacific/China as well as in the Atlanta HDQ.
Works to organize events and functions from start to finish.
Screens telephone calls and visitors, and resolves routine and complex inquiries.
Practices safety-conscious behaviors in all operational processes, and procedures.

Requirements:

Qualifications and Desired Experience:

Five or more year's previous secretarial experience required at an executive level.
Must possess advanced proficiency in MS Outlook, MS Word, Excel, and PowerPoint.
Strong cultural awareness to work with China-based staff as well as diverse international team based across Asia Pacific as well as in Atlanta.
Should have the communication skills necessary to screen and route calls and make inquiries regarding business processes or schedules, and to communicate and direct assignments and responsibilities of others as necessary.
Must be fluent in English and Mandarin.
Must be in possession of valid documentation to live and work in China.
Interpersonal skills are necessary to greet visitors, customers, and business partners or to make inquiries and exchange business information.
Must have attention to detail to ensure information is accurate and correct, that documents are grammatically correct, and that work is completed in a timely manner.
Must have the ability to coordinate the schedules of multiple aspects of projects assigned.
Must have the organizational/leadership skills necessary to develop or revise office procedures, prioritize and schedule work activities of self and others, and balance multiple assignments with limited direction.
